Privacy & Cookies Policy

01. Policy Statement 1-.1. This policy (Privacy Policy) reflects my seriousness in regards to privacy, and sets out how I will securely handle your personal data in accordance with your rights. 1.2. Please refer to my Imprint for all legal information about my business.

02. General Information 2.1. This Privacy Policy explains what information I collect about you when you visit my website (defined as www.egerttranslations.com, including any variation of this URL after the “/”). Furthermore, this Privacy Policy explains how I handle your information in order to ensure that your rights are protected. In some cases, your personal data will also be processed by translate.IT GmbH — a service partner who acts as my data processor or joint controller depending on the specific activity. For more information, see section 6 on data sharing.

Please carefully read this Privacy Policy in order to understand how we will store, process and forward your personal data. In this Privacy Policy, the usage of the pronouns you or your refer to you, the user of www.egerttranslations.com (my website) and/or as a purchaser of my services.

2.2. I recommend you also read my website’s terms of use in order to fully understand your rights when using my website.

2.3. Please do not use my website or services if you do not agree to the terms of this Privacy Policy. You will be regarded as having accepted the terms of this Privacy Policy by using the website, registering to use any of my services, or placing an order for any of my services.

03. Collected Information
3.1. I may ask you to provide certain contact information, once you register to use my services via the website — such as: your name, address, email address, and contact number. This may vary depending on whether you are using my services for personal use or on behalf of a business client.

3.2. I may also collect personal information such as the communication history between you and me or between you and authorized staff from translate.IT GmbH, who assist in service delivery and business administration on my behalf. If you request my services on a regular basis, I may retain relevant project records inside my internal project management system (Monday.com).).

3.3. On an ongoing basis we may collect technical information about what pages you access or visit, and information about your use of our sites, for example the pages viewed, the website from which you came to visit our website. For further information on this topic please see section 8 on the use of cookies below.

3.4. We are using various social media outlets (including but not limited to Facebook, Instagram, LinkedIn and Youtube), and we may collect information in any comments or posts that you submit on our social media pages. For this purpose your personal information will be processed by the applicable social media outlet and is subject to their privacy policy. I would recommend reviewing their privacy policy before posting any personal information on my social media pages.

3.5 I will not collect any sensitive personal data — also referred to as special categories of personal data under Article 9 GDPR — such as data revealing your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, health status, genetic or biometric data, or information about your sex life or sexual orientation, in connection with your use of my services and/or my website.

04. Usage of Information
4.1. I may use your information for the following purposes:

4.1. (a) in order to enable me to deliver the services you requested and to carry out the necessary steps before entering into a contract with you, as part of the normal course of my business.

4.1. (b) in order to manage your account by processing your information as far as necessary in order to perform my contract with you and to provide my services;

4.1. (c) in order to analyse your personal preferences and cater my services to you, where the processing of your information is in my legitimate interests to optimise my website;

4.1. (d) in order to store your data for the purpose of pre-populating fields, to make it easier for you to provide information when you return to my website.

4.1. (e) in order to use your contact details to get in touch with you about my services, on the basis that processing is in my legitimate interests to promote my services, whether you are acting on behalf of a business customer or in a personal capacity. Such contact may be by way of a telephone call (if you have consensually provided this information) and regular email updates. and if you are acting in a personal capacity, such contact will only be conducted by regular email updates. 4.1. (f) in order to check that the data I have stored about you is accurate, to validate your information (in some cases by matching it against information collected by a third party), where such processing is necessary in order to perform my contract with you and to provide my services;

4.1. (g) in order to comply with any legal obligations to which I am subject, where such processing is necessary.

4.2.1 I use Monday.com, a project management tool, to help organize and deliver translation services. The subscription for Monday.com is paid for by translate.IT GmbH, who hold administrator rights and act as a data processor for the technical provision and maintenance of the system. I have access through their account to manage client projects, but I do not control the platform or the infrastructure behind it. Clients do not access this system directly. For questions about data stored there, you may contact translate.IT GmbH at privacy@semioti.com.privacy@semioti.com.

4.2.2 If you contact me (Herbert Egert) via one of my email domains (Appendix A), any information you provide to me in the course of those communications will be processed as far as necessary in order to establish a business relationship under mutually safe and secure terms. translate.IT GmbH may be involved in handling this data on my behalf, acting as a data processor as outlined in our Data Processing Agreement. During communication, we may ask for certain information about the type of business you operate. While the provision of such information is not mandatory, without it, we may be unable to fully evaluate your needs and may not be able to offer my services accordingly.

4.3 The provision of certain information in the contact and inquiry forms on my website is mandatory if you want to receive my services. These fields are necessary to enable me to respond appropriately to your request. If you do not fill out the mandatory fields, the form cannot be submitted.

4.4 The provision of certain information in the order and sign-up form is voluntary and you do not need to provide such information in order to receive my services. The system won’t prevent you from proceeding with the signup if you do not fill out these fields.

4.5 We also use non-essential cookies on our website (please see details in Section 9) for which you will have the ability to opt-out of the use by choosing the appropriate option on our cookies banner. If you choose to opt out of the use of certain cookies, the functionality of our website may be affected.

4.6 Marketing.
Our goal is to provide you with as many choices regarding certain personal data uses, particularly around marketing and advertising. We have currently set up the following personal data control mechanisms (if you have remarks or suggestions please contact us under privacy@semioti.com):

4.6 (a) Promotional offers regarding our services and products. We may use your Identity, Contact, Technical, Usage and Profile Data to provide you with information about what we think you may want or need, or what may be of interest to you. In this context, 'marketing' refers to the process of analyzing your interests based on your interactions with my services, in order to determine which translation services or related offerings may be most relevant to you.

4.6 (b) If you have requested information from us or purchased services from us or if you provided us with your details when you attended an event, entered a competition, or registered for a promotion, and if in each case, you have not opted out of receiving that marketing, you may receive such marketing.

4.6 (c) Third-party marketing. Your personal data may be used by translate.IT GmbH, acting as my data processor or joint controller, to promote their own services — but only where such use is covered under our joint data protection framework and where required, based on your express opt-in consent. Express opt-in consent means you must clearly confirm your consent — for example, by checking a box or giving written or oral agreement. No personal data will be shared with unrelated third-party companies for their own independent marketing purposes.

4.6 (d) Opting out. You can ask me or translate.IT GmbH to stop sending you marketing messages at any time. You can do so by following the opt-out links in any marketing message, by following this link (https://forms.monday.com/forms/ee18640efc86dbab78d3744220648674?r=euc1) or by contacting us at privacy@semioti.com. Opting out of marketing communications does not affect the processing of personal data required for service delivery or past communications (as outlined in section 4.6(b)). If you would like all data related to your person to be deleted, please contact us at the same email address.privacy@semioti.com.

05. Change of purpose We exclusively use your personal data for the purposes mentioned in this policy, unless we reasonably consider that we need to use it for another purpose and that purpose is compatible with the original purpose and/or European law. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose and/or European law, please contact privacy@semioti.com.

If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by European law.

06. Sharing of Information
6.1. As part of using our services, we have to share your personal information with the following parties:

6.1. (a) we appoint multiple service providers and third-party partners, who process and store data on our behalf for specific operational and technical purposes:

  • Monday.com (and other project management solutions) – used to manage translation projects, timelines, and communication.

  • Trados Studio, memoQ, Phrase, Crowdin (and other TMS systems) – used to process and deliver translation work.

  • Google services – for document collaboration, email communication, and file storage.

  • Apollo.io – for managing client relationships and outreach.

  • Wix.com – for website infrastructure and handling form submissions.

  • Hostinger – for domain hosting, email communication and related infrastructure.

  • ChatGPT, DeepL, and other AI & MT providers – used to assist in translation and drafting tasks, under strict confidentiality and GDPR-compliant configurations.

6.1. (b) professional advisors acting as processors: including lawyers, bankers, and insurers who provide consultancy, banking, legal, insurance, and accounting services;

6.1. (c) We may also (have to) disclose your personal data to our supply and delivery partners, including but not limited to freelance translators or desktop publishing service partners. Whenever such disclosures are made, they will be subject to contractual arrangements with us and carried out in accordance with the requirements of the GDPR.

6.1. (d) if you opted in on the marketing consent statement to receive information about third-party products and services, trusted third parties whose products, services, and other offers we believe may be of interest to you. You will be able to opt-out of such communications at any time by following the unsubscribe link in any of the marketing emails which we send to you;

6.2. We may also share your personal information with third parties:

6.2. (a) in the event that translate.IT and substantially all of its assets are acquired by a third party (in which case personal information about customers will be one of the transferred assets);

6.2. (b) if we are forced to disclose or share your personal data in order to comply with legal obligations

6.2. (c) in order to enforce or apply any contract with you; or to protect our rights, property, or safety of our employees, customers, or others. This includes exchanging information with other companies and organizations for the purposes of fraud protection and credit risk reduction.

07. Storage of personal data

7.1. We store your personal information as long as necessary for the purposes listed in paragraph 4.

7.2. The appropriate retention period for personal data is determined considering the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorized use or disclosure of your personal data, the purposes for which your personal data is processed and whether we can achieve the same purposes through other means, and the applicable legal regulations.

7.3. Instead of destroying or erasing your personal information, we may anonymize it in a way so that it cannot be associated with or be traced back to you. If you are an employee, worker or contractor of the company we will retain and securely destroy your personal information in accordance with applicable laws and regulations.

7.4. If you want us to erase your data prior to this period, please contact us under privacy@semioti.com.

08. Your rights
8.1. You may request a copy of your personal data by contacting privacy@semioti.com. In your request please include details of the to you relevant time periods, to help us to locate the data you are requesting.

8.2. Where ever processing is based on consent, you may withdraw your consent at any time. You can do this by, following the unsubscribe link in any one of the marketing emails we send you or by contacting us under privacy@semioti.com.

8.3. If you think we my hold inaccurate information about you, please contact us under privacy@semioti.com and describe your case to us. Please include the updated information.

8.4. You can ask us to delete your personal data. Please contact us under privacy@semioti.com and specify which information you would like us to delete and why.

8.5. You can ask us to provide you with the personal information that we hold about you in a structured, commonly used and machine readable form. You can also ask us to send such personal data to another data controller.

8.6. You can object to our processing of your personal data pursuant to this Privacy Policy. Please contact us under privacy@semioti.com.

8.7. You can make a complaint about our data processing activities to a supe ‘Der Bundesbeauftragte fuer den Datenchutz und die Informationsfreiheit’ in Germany. You can find a list of the national responsible institutions on: edpb.europa.eu/about-edpb/board/members_en

8.8. In order to make enquires and/or to exercise any of your rights in this Privacy Policy please contact us at under privacy@semioti.com.

8.9. You will neither have to pay a fee to access your personal data nor to exercise any of your other rights. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request.

8.10. We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data, or to exercise any of your other rights. This security measure is in place in order to ensure that personal data is not disclosed to any person who has no right to access it. We can also contact you in order to request further information in relation to your case to speed up our response.

8.11. We strive to respond to all legitimate inquiries within 30 days. Occasionally it can take us longer than 30 days if your request is very complex or you have made multiple requests. In such cases, we will notify you and keep you updated.

09. Cookies policy
9.1. If you agree we will store a small file of letters and numbers in your browser or the hard drive of your computer. Those files are called cookies. Cookies contain information that is transferred to your computer’s hard drive.

9.2. In order to distinguish you from other users of our website we request your consent to install cookies in your browser or on your hard drive. This allows us to improve the performance of our website and services which in return serves you with a good experience on our website. By continuing to browse the site, you are agreeing to our use of cookies.

9.3. Please be advised that third parties can also use cookies and tracking technologies on my website. These include pixels provided by platforms such as LinkedIn, Facebook/Meta, and Google (including Google Ads and Analytics), which help us analyze website usage and deliver relevant advertising. These third parties may collect data about your visit, including your IP address, device information, and user behavior. This data is processed in accordance with their own privacy policies. You can manage your consent preferences for these cookies through our cookie banner or browser settings.

10. Transfers out of the EEA 10.1. In case we transfer your personal data outside of the European Economic Area (EEA) we will ensure that such transfers and the processing of personal data outside the EEA is lawful and that your personal data is stored and transferred securely and in accordance with the GDPR.

11. Security and data storage 11.1. We treat all of your information with strict confidence. We will also make sure that all reasonable steps are taken, in order to keep your personal information secure once it has been transferred to our systems. We implement and keep implementing appropriate data collection, storage, and processing practices and security measures, aiming to protect your personal data against unauthorized access, alterations, disclosure or destruction.

11.2. Your personal data may be stored in a cloud storage system by our IT service providers mentioned in section 6 above. We take steps to ensure that these third parties implement appropriate technical and security measures, in order to protect your data.

11.3. Please note that we can not guarantee 100% safety for any of the information that you disclose online. This is because the Internet in itself is a not secure medium. By agreeing to this policy, you accept the inherent risk the internet bears and agree to not hold us liable for lost or stolen data.

12. Changes to this policy 12.1. We may modify this Privacy Policy whenever changes on our website or in our procedures take place. Please review it regularly.

12.2. Whenever we change this Privacy Policy we will notify you via our website or via e-mail.
